Job Description

ESSENTIAL FUNCTIONS of this job description include but are not limited to:

  • In accordance with established procedures, implement appropriate billing and collection measures
  • Keep abreast of all reimbursement billing procedures.
  • Maintains cooperative attitude with clinic personnel, physicians, patients and families as needed to enhance continuity of care and a positive working environment.
  • Maintains established departmental policies and procedures, objectives, quality assurance program and safety standards.
  • Maintains departmental reports and records and collects statistical data for administrative and regulatory purposes.
  • Supervises office services including telephone, reception, filing, collection of patient accounts, logging and key punch.
  • Supervise the charge posting, billing and collection operation, advising Medical Director on the day-to-day implementation and interpretation to insure compliance with all policies and procedures.
  • Implement controls to insure appropriate submission, billing and payment cycles.
  • Prepare monthly report of open accounts for submission to Medical Director as requested.
  • Supervise, train/orient business office personnel.  Plan and coordinate monthly education programs for the clinic.
  • Collects and records quality assurance statistical data according to established collecting criteria.  Establishes and maintains files and records on an ongoing basis.  Retrieves records for release of information and copying.  Duplicates documents and forms as directed and mails to outside individuals and agencies.
  • Assist in care and maintenance of department equipment and supplies.  Justify needs and purchases.  Document maintenance schedules for department equipment.  Document cleaning and maintenance schedules for the clinic.
  • Confidentiality – Maintain patient, team member and employer confidentiality. Comply with all HIPAA regulations.
  • Assists Physician(s) and Mid-level Practitioner(s) with chart completion.
  • Maintain established clinic procedures, objectives and safety policies.
  • Performs other tasks and duties as assigned in an efficient, effective and cost conscious manner, complying with all hospital policies, procedures, and regulations.

KNOWLEDGE, SKILLS, QUALIFICATION and EDUCATIONAL AND /OR EXPERIENCE REQUIREMENTS:

  • Associate’s Degree in Healthcare Field or similar Required; Bachelor’s preferred
  • 2-3 years Healthcare Management experience in Physician Office or Hospital setting
  • Extensive knowledge in billing and collections
  • Ability to communicate effectively
  • Must be proficient in using computer systems, Word, Excel, personal computer, copy machines and calculator. 
  • Must be able to balance figures, compile statistics, compose letters/memorandums, coordinate meetings, develop office procedures, and establish filing systems and research information.
  • Interpersonal skills necessary in order to communicate effectively with patients, physicians, and other hospital personnel often requiring exceptional courtesy and tact. 
  • Critical thinking and multitasking skills.
  • Ability to read, write, and follow written and verbal instructions independently.
  • Basic math and computer skills.

PHYSICAL DEMANDS / WORKING CONDITIONS:

May be exposed to patient elements, prolonged, extensive or considerable standing/walking, sitting, bending/twisting, kneeling/squatting, reaching, climbing and should be able to lift 25 or more pounds using proper lifting techniques. Rapidly changing and stressful environment. Ability to communicate with various levels of people. Possible exposure to communicable and infectious disease and hazardous materials. Occasional exposure to unpleasant patient or unit elements (accidents, injuries and illness). Contact with patients under a wide variety of circumstances. Subject to varying and unpredictable situations. Handles emergency or crisis situations. Subject to many interruptions. Occasional pressure due to multiple tasks and inquiries.
