Job Description

ESSENTIAL FUNCTIONS of this job description include but are not limited to:

  • Completes a broad variety of administrative & day-to-day tasks for the CNO, Nurse Educator, & Nurse Manager including managing an extremely active calendar of appointments, composing and preparing correspondence that is occasionally confidential; arranging itineraries and agendas; and compiling documents for various meetings as required
  • Track Performance Improvement with Clinical, Safety/EMA, EOC & additional regulatory agencies (e.g., DNV)
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CNO including those of a sensitive or confidential nature.
  • Provides a bridge for smooth communication between the CNO office and internal departments; demonstrating leadership to maintain credibility, trust and support with management staff
  • Works closely and effectively with CNO to keep her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Performs other tasks and duties as assigned in an efficient, effective and cost-conscious manner, complying with all hospital policies, procedures, and regulations

 

KNOWLEDGE, SKILLS, QUALIFICATION and EDUCATIONAL AND /OR EXPERIENCE REQUIREMENTS:

  • High school diploma or equivalent required/Medical Assistant preferred
  • 2-3 years of administrative assistant experience required
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) & Adobe Acrobat
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, administration, and external partners
  • Use & understanding of medical terminology
  • High level written and verbal communication skills & emotional maturity
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment

PHYSICAL DEMANDS / WORKING CONDITIONS:
Sitting, standing, walking bending/twisting, kneeling/squatting, reaching, climbing and should be able to lift 25 pounds using proper lifting techniques.  Rapidly changing and stressful environment.  Ability to communicate with various levels of people.  Possible exposure to communicable and infectious disease and hazardous materials. Occasional exposure to unpleasant patient or unit elements (accidents, injuries and illness).  Contact with patients under a wide variety of circumstances.  Subject to varying and unpredictable situations.  Handles emergency or crisis situations.  Subject to many interruptions.  Occasional pressure due to multiple tasks and inquiries.
