Job Description

ESSENTIAL FUNCTIONS of this job description include but are not limited to:

  • Completes a broad variety of administrative tasks for the RHC Manager including managing  appointments, composing and preparing correspondence that is sometimes confidential; arranging itineraries and agendas; and compiling documents for various meetings as required
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Office Manager including those of a sensitive or confidential nature.
  • Provides a bridge for smooth communication between the clinic office and internal departments; demonstrating leadership to maintain credibility, trust and support with staff
  • Works closely and effectively with the Providers and the Clinic Staff to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the Manager & providers updated
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the Clinic Manager some of which may have organizational impact
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Performs other tasks and duties as assigned in an efficient, effective and cost-conscious manner, complying with all hospital policies, procedures, and regulations

KNOWLEDGE, SKILLS, QUALIFICATION and EDUCATIONAL AND /OR EXPERIENCE REQUIREMENTS:

  • High school diploma or equivalent required.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) & Adobe Acrobat
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners
  • High level written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Emotional maturity
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced

environment

  • Ability to pay close attention to detail

PHYSICAL DEMANDS / WORKING CONDITIONS:
Sitting, standing, walking bending/twisting, kneeling/squatting, reaching, climbing and should be able to lift 25 plus pounds using proper lifting techniques.  Rapidly changing and stressful environment.  Ability to communicate with various levels of people.  Possible exposure to communicable and infectious disease and hazardous materials. Occasional exposure to unpleasant patient or unit elements (accidents, injuries and illness).  Contact with patients under a wide variety of circumstances.  Subject to varying and unpredictable situations.  Handles emergency or crisis situations.  Subject to many interruptions.  Occasional pressure due to multiple tasks and inquiries.
